Job Detail: Executive Assistant

About: 

The Executive Assistant is responsible for providing administrative support to the Public Policy and Communications team, as well as coordinating administrative functions associated with events, and serving as the front desk receptionist for the National Farmers Union (NFU) office.  This individual is also responsible for managing and overseeing the NFU internship program. 

Position Responsibilities: 

  • Serve as the first point of contact for the NFU office.  This includes presenting a positive impression, greeting guests and announcing arrival, receiving and delivering mail and packages, and providing exceptional service to callers
  • Manage the front office and maintain professional appearance of front desk and common areas.  Purchase items for the office as needed
  • Supervise the NFU internship program.  This includes interviewing and selecting interns for each internship program, reaching out to and coordinating with universities, conducting weekly meetings with interns to review projects and tasks, and assisting with training and development
  • Develop and maintain positive relationships with colleges and universities for internship program
  • Provide administrative support for NATFARMPAC, enter PAC contributions into Avid accounting software, draft letters for Government Relations staff to take to PAC events 
  • Prepare and submit quarterly Lobbying Reports and bi-annual PAC Contributions report
  • Prepare material for weekly all-staff meetings and archive weekly all-staff agendas and notes
  • Provide support for events.  Coordinate congressional office scheduling for fly-ins, travel and meal logistics for annual policy committee meetings, invitations and logistics for government official’s participation in NFU hosted events
  • Assist Government Relations, Communications and Foundation teams with projects as needed, including creating documents, research, editing, grant writing, making travel arrangement, and other tasks as needed

Position Requirements:

  • Strong planning, organizing and prioritization skills.  Demonstrated ability to effectively manage projects and tasks with competing deadlines and priorities
  • Professional presentation and demeanor. Ability to positively and professionally represent the organization
  • Solid judgment and decision-making skills.  Ability to analyze, apply critical thinking skills and solve problems
  • Self-starter and initiative. Ability to independently manage workload and take ownership for results
  • Ability to travel approximately 20%. This includes traveling to national convention annually and to state conventions and conferences as needed
